How to Prepare for HCM Software Implementation

How to Prepare for HCM Software ImplementationYou have identified the features you need, evaluated the options, and finally decided on the human capital management (HCM) solution that makes the most sense for your business. While you might be tempted to breathe a sigh of relief, make it quick! Next comes implementation.

With a little preparation and flexibility you can ensure that your administrative processes continue to run smoothly while taking full advantage of the cool, new features your software provides.

We’ve assembled the following tips to help you make a seamless transition.

Communicate with your provider.

First things first.

Your employees need to be paid. That should be first priority. If you’ve chosen comprehensive software that handles all human capital management (HCM) tasks, payroll should be the first to be converted. Fortunately, it’s the easiest to accomplish.

You will need to provide pertinent employee information—names, addresses, social security numbers, rates of pay, bank account numbers, etc. Before you gather this information, check with your provider to find out what format is best to use.

Tackle the process in stages.

Don’t expect all processes to be transitioned all at once. Roll it out in stages. Your entire team will be involved in the implementation, and too many changes happening at once will only overwhelm them.

Once payroll has been successfully migrated, HR should be next. Robust software is not a “one system fits all,” it is scalable and customizable based on each client’s needs – something you’ll appreciate later. As a result, it will need to be built out piece by piece. Brian explains “The HR platform is essentially a blank slate, you can do with it what you want depending on your company and industry.”

Embrace the change.

To grow and evolve, all businesses must accept change. Unfortunately not everyone greets it with open arms. While your team may experience some inconveniences now, help them to see the big picture. Communicate how the upgrade in software will ultimately benefit the company.

There may be bumps in the road, but in the end, when you are reaping the benefits of the new software and experiencing greater productivity, everyone will be happy you made the switch. And you can breathe a final sigh of relief.
